Great River Energy is seeking an O&M Support Coordinator to provide high quality customer service, administrative, and functional support to North Dakota Generation, leaders and staff, and external customers to ensure effective and efficient processes are maintained and coordinated.


2 ND Generation Support
Direct mailroom operations including processing and postmarking of outbound USPS mail
Maintain vehicle registrations and process new titles with the NDDOT
Administer floral orders and memorial procedures for CCS to include staff notification, cards, floral and food orders
Coordinate catering and deliver food when necessary for internal and external audiences
Process Tivoli requests including account updates, new hires, and employment separations
Conduct employee on boarding for new employees and employee transfers
Distribute communications on behalf of management. Compile and prepare confidential documents, letters, requests and reports, collecting and analyzing information
Coordinate logistics for meetings including scheduling conference rooms, creating and distributing communications, taking meeting minutes, and basic IT support
Collaborate with communications to administer ND employee events such as wellness screenings, holiday party, GRE picnic, retirements, and employee recognition
Develop, create, maintain, and provide support for various databases
Maintain extensive filing systems both electronically and manually
Assign accounts and obtain invoice approvals through Ascend
Prepare and process check requests, expense reports, purchase requisitions, blanket purchase releases, credit card purchases and statements
Manage all domestic and international travel arrangements including training and conference registrations
Maintain office equipment and provide operational support
Gather, research, and prepare presentations for both internal and external audiences
Perform administrative duties such as preparing, typing, proofing, scanning, faxing, reports, and general correspondence
Maintain and assist with budget information
Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks
Contribute positively to the GRE culture by actively coordinating and participating in the administrative professional team meetings and providing backup support
Coordinate and perform special administrative projects or unique functions as required by department manager, supervisors, and staff
3 Maintenance Data Coordinator Assistance
A Assist with administration of the ND Generation computerized maintenance management system
Responsible for reviewing new and completed work orders to ensure proper information has been added, where pertinent
Complete the failure class and problem code fields of completed work orders based on actual work performed
Assist with scheduling of preventative maintenance work orders to ensure plant reliability
Maintain up to date records of work requests
Run reports to support O & M maintenance and Engineering needs
Assist with running reports to measure maintenance goals and to provide metrics to evaluate the effectiveness of maintenance programs
Monitor and report regulatory and environmental work order status to help assure compliance
Perform data entry, review and purging to ensure accurate and up-to-date information is available to assist maintenance staff perform their jobs more effectively and make informed decisions
Update work orders, PMs and job plans as labor & work assignment changes are made
Perform mass location, asset and specification data migration into Maximo utilizing Microsoft Access database tools
Collaborate with Leaders and Planners to maintain accurate work group, craft and leader assignments along with Maximo qualifications
Generate queries and reports for staff to promote timely completion or cancellation of work orders utilizing Maximo, Cognos, Lawson, Microsoft Access and/or Excel
Generate reports to provide cost and equipment maintenance type information as needed to support O&M and Engineering
Produce reports to provide maintenance cost information for Section 45 billing
Assist with training for CMMS to core process maintenance personnel on an as-needed basis
1 Payroll Administrator
Collaborate with leadership to ensure companywide time records have been submitted and approved by payroll due date
Submit time on behalf of employees and approve time on behalf of leaders
Provide technical support and training to leadership and staff
Acts as functional expert and resource for payroll department
Collect and fax contract labor timesheets to the appropriate vendor
3 Safety Administrator Assistance
Review changes, proof read, edit, update and distribute policies and procedures
Maintain contractor ECCS, safety orientation and training information
Assist with various safety audits
Responsible for various safety programs to include eligibility, payment submittals, approve safety expense reports and update database
Prepare and report quarterly MSHA hours
Monitor and coordinate OSHA regulated medical exams for employees
Maintain safety incentive programs
Coordinate incident/accident follow up and enter data in Risk View program
Maintain monthly contractor/vendor visitor logs and flyash load log
J Job Criteria:
E Education & Experience
Knowledge typically acquired through high school with two years post-secondary education preferred and a minimum of 3 years administrative or office experience required. Must have a valid driver's license.

Knowledge, Skills, & Abilities
Knowledge of standard office procedures and basic administrative functions.
Skill to utilize proper business English, grammar and punctuation and consistently apply accepted GRE document formats.
Skill in the use of the Microsoft suite, including Word, Excel, Access and PowerPoint. Other computer applications as required. Lawson experience helpful.
Skill to prioritize multiple projects by utilizing strong organizational and time management skills to complete work in an efficient manner.
Skill to utilize good verbal and written communication.
Skill to accurately type 50 words per minute.
Ability to build and maintain effective work relationships and establish credibility with business partners.
Ability to appropriately maintain confidential information.
Ability to work in a well-organized, self-directed manner and willingness to assist others when needed.
Ability to adapt to rapidly changing business circumstances; must be able to thrive in a constantly changing business environment.
