Assistant Project Manager/Executive Assistant
Consulting Firm seeks a highly capable Executive Assistant/Project Manager. Selected candidate will work with upper management to determine and execute project management, needs scheduling, marketing & graphics tasks & various office processing tasks. To ensure success in our business, you should demonstrate technical expertise in seamless multitasking, client service, and support.
Overview of Essential Functions and Responsibilities:
Assistant Project Management Functions:
- Keep detailed records of action items, deliverables, and other related details for project updates.
- Ensure availability of daily schedule, project details, and documents when needed
- Follow up on action items from meetings/discussion as directed.
- Track and communicate progress throughout project stages when requested
- Follow up on action items from meetings/discussion as directed.
- Documenting client and project files as needed, and general note taking.
- Process project documentation and details
- Coordinating and scheduling in Microsoft Outlook.
- General office duties such as email correspondence, phone calls, note taking, drafting, and new client processing.
- Keeping staff being supported informed of changes, status changes, client needs/ requests, and important deadlines.
- Communicates any unclear or missing project details to upper management.
- Occasionally communicate with clients throughout execution of project.
Marketing/Graphics Functions:
- Collaboration and execution of marketing campaigns.
- Content creation, graphic design, and campaign organization.
- Deploying marketing material in desired format, tracking effectiveness, and information requests.
- Running reports, data requests, and searches as needed for marketing or client services.
- Support and communicate with tech support, marketing, and business support services when needed.
General Office Functions:
- Get accurate status and timing on requests and meetings
- Support and communicate to multiple upper management members
- Obtain accurate details, contact information, and documents for management
- General office duties such as email correspondence, phone calls, note taking, drafting, and new client processing.
- Keeping staff being supported informed of changes, status changes, client needs/requests, and important deadlines
Knowledge, Skill, and Ability Requirements:
- Ideal candidate needs to be results-driven and have a sense of urgency, strong follow-up skills
- Must have time management skills, be highly organized, detail oriented, and quality conscious, with an ability to handle multiple tasks in high pace environment.
- Fluency with the entire Microsoft Office suite
- Problem solving ability with attention to detail
- Exceptional interpersonal, collaboration, and communication skills.
- Eager to learn new things, discuss and identify opportunities for process improvement over time
- Motivated team player that is a self-starter
- Passion for working with people and driving results
- Specialization in business administration support or a related field will be advantageous.
- A minimum of 2 years experience in Administrative Assistance or Project Management
- Extensive knowledge of business processes, and office procedures.
- Graphic Design and Advertising experience required
