Project Manager & Program Specialist, Scientific Programming
Keystone Symposia on Molecular and Cellular Biology is currently seeking a Project Manager & Program Specialist for our Program Implementation department. This is a year-round, full time position with an excellent benefits package. Responsibilities include coordination and management of our Scientific Advisory Board (SAB) and their bi-annual meetings, coordination and support of activities with the Chief Scientific Officer (CSO), Grants, Communications, Program Development & Implementation and other departments as needed. The successful candidate will have excellent communications, organizational, multi-tasking and analytical skills, a 4-year college degree and 3-5 years related experience.
JOB REQUIREMENTS
• A Bachelor's degree or equivalent from a four-year college or university and three to five years related experience is required. Excellent written and oral communication skills are essential. Working knowledge of basic data analytics is required. Additional relevant work experience and training, including survey skills, analytical and database skills, grants application and administration, and project management experience, are a plus.
• Attention to detail is essential, must be able to multi-task, and have strong communication skills in order to prioritize the multiple duties this position will require. Expert knowledge of Office 365 products, teleconferencing and videoconferencing platforms, Adobe, form building, survey building, data automation, and database management.
• Ability to solve problems and deal with a variety of concrete variables in situations where only limited standardizations exist. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
ESSENTIAL RESPONSIBILITIES include the following:
Scientific Advisory Board (SAB) Project Management: Duties and Responsibilities
• Coordination of the SAB, including the management of membership following the guidelines outlined in the organizational bylaws.
• Prepares, maintains, and reconciles the BOD/SAB budget.
• Event planning and coordination for the bi-annual BOD/SAB meetings. Manages invitations and processes subsidies for the SAB members, along with special groups like the Keystone Fellows and the Diversity Advisory Committee.
• Coordinates with the CSO and other key departments (Development, Global Development, and Program Development) on the bi-annual Nominating Committee meetings. Prepares all supporting documentation for the meetings and the Board report out.
Scientific Programming and Grants: Duties and Responsibilities
• Monitor timelines and coordinate eSymposia program operations to include coordination of multi-person teams assigned to key operations, and coordination and scheduling of speaker tech checks.
• Provide support to the Grants Department to include: data entry of federal grant information in database, upload government grant documents into the federal online portal system and preparation of the grant closeout materials.
• Monitors trends in survey feedback and performs data analytics as needed to guide future program development. Assists CSO with preparation of annual Report on Effectiveness.
• Facilitate occasional career development events as needed during conferences and eSymposia.
• Schedules calls for the CSO and Director, Program Development and Implementation, including conference proposals and organizer solicitations, as needed.
• Additional tasks in support of Program Development and Implementation may be assigned.
