Schedule: Monday-Friday 8:00 - 4:30
Examples of Work
Provides administrative support to the Substance Abuse Staff. Maintain and update inmate documentation to include: accurately sort and file documents; create new files; research and respond to inquiries; prepare discharge files for transport; assist counselors with inmate registration for group programs; maintain group program waiting lists; scan documents for electronic filing; search parole violator information; compile data for monthly reports. Disseminates information in person, by telephone, email or correspondence. Creates and modifies manual and electronic filing and record keeping systems. Types, enters and scans narrative, numerical and/or statistical information. Reviews and sends hard copy and electronic mail, form letters and material relying on established correspondence guidelines. Takes and transcribes minutes and dictation from meetings. Arranges meetings for the Substance Abuse Staff. Searches for, compiles and summarizes material from manual and electronic files, documents, electronic communications and non-agency sources. Orders office supplies and equipment to maintain the office inventory. Coordinates with Human Resources office for relevant information concerning employee discipline and other matters.
Qualifications / Requirements
REQUIREMENTS: Experience in performing office/clerical or secretarial support functions, using personal computers and associated office software such as word processing and spreadsheet.
PREFERRED: At least one year of experience performing office/clerical/secretarial support functions. Experience taking meeting minutes and transcribing dictation. Proficiency using Microsoft Office (Word, Excel, and Outlook).
OTHER: Type 40 wpm net. Typing test required prior to interview. Applicants accepting a job offer must pass the following pre-employment exams in this order: medical exam and, at a randomly announced time, pass a drug test. Once at the Staff Training Academy, must successfully complete the fully paid NE Corrections Training Program.
Knowledge, Skills and Abilities
Typing at 40 wpm net with emphasis on accuracy. Good organizational skills with the ability to pay attention to detail. Ability to understand and apply administrative support policies and guidelines.
